Description of Job

The Executive Assistant for the Office of Boards and Commissions and Office of Legal Council (OLC) provides direct administrative support to the Director of Boards and Commissions and the Chief Legal Council.

The Office of Boards and Commissions is responsible for recommending individuals for appointments to the Governor for service on over 300 Boards and Commissions.

The OLC provides legal advice to the Governor, the Governor's staff, and the Executive Directors of the principal agencies that report to the Governor. The OLC also coordinates legal strategy for the state with the Attorney General's office and administers the judicial appointment and clemency processes for the Governor.

Essential Duties and Responsibilities:

  • Front desk and telephone reception duties assisting internal and external customers; may serve as the first point of contact and must conduct business with a professional demeanor

  • Designing, implementing and documenting office procedures

  • Provide information about Boards and Commissions and Office of Legal Council

  • Preparing meeting materials, scanning documents, and electronic document creation or modification

  • Use analytical skills to adapt to various situations

  • Establish and maintain effective and cooperative working relationships with all levels of stakeholders, including internal customers, the public, and other agencies

  • File, retrieve, and prepare documents, correspondence and reports

  • Answer public email questions, telephone, check voicemail messages and respond as appropriate

  • Quickly manage scheduling, appointments and calendars for Director of Boards and Commissions and Chief Legal Counsel and as necessary for their staff.

  • Assist with tasks deemed necessary by the Director, Lawyers, Staff Assistant including, although not limited to:
  • Assist in preparation of Executive Orders

  • Process Executive Orders following Governor's signature

  • Help draft letters, Executive Orders, memos, and other documents

  • Maintain and update files

  • Manage administrative tasks for Judicial Nominating and Judicial Performance Review Commissions

  • Track and respond to all Colorado Open Records Act (CORA) requests received by the Office of the Governor

  • Monitor and ensure compliance with all litigation holds

  • Help manage Board and Commission interns and oversee intern tasks

  • Ensure that boards and commissions documents are up to date, current, and accessible on the shared drive. Maintain an effective information tracking system for diversity reporting, new applications received, background checks, call lists, rejection letters, and certifications

  • Perform any other duties that may arise that need to completed for the departments

Organizational Relationships: This position reports to the Director of Boards and Commissions and the Chief Legal Counsel and is part of the Governor's Office team. This position has no supervisory responsibility. Competencies- Salesforce (not required but familiarity a plus), Google Suite, excellent writing and interpersonal skills, strong work ethic, organizational skills, team player, attention to detail, passion for a fast paced and fun work environment.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Expected Annual Travel: None

Education/Experience: 2 years related work experience required.

Substitutions: Appropriate education will substitute for the required experience on a year-for-year basis.
