Come be a part of our mission!We have an opening for an Administrative Assistant 3 to join our team of qualified, diverse individuals in the Integrated National Systems Business Unit (INSBU) Legacy Portfolio. This position will be located in Aurora, CO.What You'll get to Do:The INS BU Engineering Organization is seeking a high energy, dependable Administrative Assistant to join our team. As the selected candidate, you will support the Engineering Organization, all of its managers as well as collaborate with program operations with a variety of duties including arranging meetings, setting up and maintaining files, arranging and setting up food orders, support office moves and associated equipment orders, arranging travel for personnel, processing associated expense reports, coordinating on-boarding of new personnel to the program, and supporting special program and campus events.You will coordinate with appropriate organizations, i.e., facilities, security, property, and account management to ensure visit requests, badges, and account forms are properly filled out and submitted. You will support coordination and integration of presentation material from team members and will have the opportunity to help execution of customer and team meetings.We are seeking an independent thinker with a track record of excelling in a fast-paced, multi-faceted, and collaborative team-based environment. The position requires excellent communication skills, an ability to multi-task and organize/prioritize tasks independently, strong time management skills, strong office management and interpersonal skills, self-motivation, and the ability to collaborate in a team environment. The selected candidate should have the ability to act with discretion and good judgment when handling or disseminating sensitive, confidential, or proprietary information.This position will report to the Program Manager and provide support throughout the leaders in the tactical edge organization as required.Primary Duties:Arrange meetings and teleconferencesMaintain and synchronize calendarsArrange travel and prepare associated expense reportsCoordinate on-boarding of personnelAnswer questions and solve problems related to office operations and established policies and proceduresCoordinate office workspace planning, ordering office equipment with the facilities and IT organizationsInterface other Engineering organization leadersSupport coordination and integration of meeting materialsSupport and collaborate with other Administrative Assistants as neededSupport special event planning and catering, such as meal planning, ordering food from caterers, delivering food, clean up and expensingBasic QualificationHigh School Diploma/GED plus 4 years of additional education and/or experience.Current/Active Secret ClearanceProficiency in Microsoft Office Suite including Word, PowerPoint, Outlook, ExcelProficiency in editing written material for correct spelling and grammarExperienced with organizing/maintaining/deconflicting schedules, calendars, meetings, and travel arrangementsPrior experience working as an Administrative Assistant or performing equivalent responsibilitiesSalary Range: $49,400 USD - $82,400 USDEmployees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives.
