This position supports the TRIO Upward Bound Program in the daily/weekly/monthly programmatic and reporting duties. Collects and maintains financial, program participant, and overall programmatic records in established system, providing support for federal and institutional reporting. Provides general programmatic support for academic year and Summer Program planning and implementation. Assist the Project Director or Project Advisor with special projects and perform other duties as assigned. -- * Prepare and monitor classroom supplies and materials. * Reach out to students to resolve financial aid issues.-- * Disperse and track student/academic materials * Update and organize multiple versions of program materials to support planning of academic year and Summer Program. -- This position will be making purchase orders and monitoring office supplies, food orders, and student academic and summer component supplies.-- -- * Monitor stocks of office and academic supplies and reporting when there are shortages; purchase student, office, and program supplies as needed. * Organize staff travel arrangements to/from professional development and/or local/national conferences/trainings * Provide support for set-up/break-down at programs and events * Arrange the scheduling of campus resources, such as classroom, IT, or Facilities needs. * Support Summer Program class scheduling process for Program Participants.-- -- This position is responsible for providing clerical support and assistance for the TRIO Upward Bound Project. --This position will work alongside the Project Director and Project Advisor to ensure the collection and tracking of necessary documentation to meet federal guidelines.-- -- * Utilize Student Access system to input/update student information necessary for federal reporting. * Review participant applications to ensure completeness and accuracy of student/family information. * Collect and input frequency and nature of student contacts with Project staff, including classroom and co-curricular attendance * Provide general support in the collecting and entry of data to support the federal Annual Performance Report process.-- -- This position will engage in a variety of established institutional processes and procedures to support the varying needs of the program between the academic and summer components of the program. This position will develop an understanding of fiscal affairs processes-- -- * Submit purchase orders for program supplies * Ensure the timely submission of Official Function Forms necessary for daily summer programming activities-- * Serve as a quality control check for the submission of financial documents, including staff PCard and Travel Card documentation * Submit appropriate documentation for reimbursements * Work with local vendors to arrange delivery and payment of food, supplies, or services-- * Manage data collection and input process related to student recruitment and daily/weekly student contacts. * Utilize financial tracking system to support Project Director in budget management processes * Provide quality control checks on institutional documentation-- * Provide general programmatic support for academic year and Summer Program activities such as including but not limited to: collecting and tracking daily attendance, identifying local vendors.-- --Minimum Requirements: One year of general clerical experience related to the work assigned to the position. Appropriate education will substitute for the required experience on a year-for-year basis. -- Preferred Qualifications:-- * Excellent interpersonal skills * Excellent customer service skills * Must be detail oriented and work in an organized fashion Salary:: $30,082.00 annually. --This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information.
